About the Department

The Department of Mechanical and Aerospace Engineering at North Carolina State University (Raleigh, NC) is among the largest and most prominent in the nation. The department offers Bachelor of Science (BS), Master of Science (MS), and Doctor of Philosophy (PhD) degrees in both Mechanical Engineering (ME) and Aerospace Engineering (AE). The department also offers accelerated BS/MS degrees in both programs.

Current research specialization in MAE includes dynamic systems and controls, vibrations, biomechanics, design optimization, smart materials and structures, precision engineering, MEMS and NEMS, advanced manufacturing, aerodynamics, UAV flight research, materials, renewable energy, combustion, hypersonics, propulsion, space exploration systems, and computational fluid dynamics.

The MAE department currently boasts 45 tenure-track faculty, six non-tenure track faculty, and 15 staff. The faculty is highly recognized with seven National Science Foundation CAREER Award recipients, four NSF RIA recipients, one NASA Early Career Faculty Award recipient, four ASME Fellows, seven AIAA Fellows, 20 members in the NC State Academy of Outstanding Teachers, and five named professors.

The MAE Department has an enrollment of over 1,100 undergraduates and 400 graduate students, and has conferred over 4,000 degrees since 2000. The department is housed in Engineering Building III, a four-story, 250,000-square foot facility built in 2010. An annex houses wind tunnels, an anechoic chamber, internal combustion engine dynamometers, and additional research labs. NC State’s location on Centennial Campus, combined with its proximity to the Research Triangle Park and neighboring universities, provides extensive opportunities for academic and industrial interaction and collaboration.

Essential Job Duties

This position serves as the Sponsored Research Administrator for the Mechanical & Aerospace Engineering pre-award and post-award process. Currently there will be 3 Sponsored Research Administrators.

Duties include:
-Understanding and apply accounting principles and practices to a variety of accounting, budgeting, forecasting and other fiscal functions.
-Expense, variance and forecasting reporting.
-Development of controls for determining allowability of costs.
- Preparing and processing proposals through PINS, grants.gov, and other agency electronic submissions programs.
- Reviewing new award guidelines, procedures, and regulations with parties involved.
- Keeping up-to-date on compliance rules and regulations of NC State and of agencies including NSF, NASA, ONR, ARO, AFOSR, DOD, EPA, and NIH.
- Post award analysis of budgets including monitoring and reviewing expenditures for accuracy and compliance. and provide spending plan analysis and guidance to faculty.
-provide projections and guidance on future expense planning.
-Cost share reporting
- Reviewing human resource expenditures and travel vouchers/reimbursements for accuracy and compliance.
- Working with principal investigator on developing facets of the pre-award budgets and post-award budget changes following university and agency rules and regulations compliance.
- Award close-outs including budget change financial approval (PMR).
- Developing and maintaining internal control procedures and processes for internal work-flow.

  • Act as backup to other Sponsored Research positions as needed.

Performs a variety of other duties as assigned (and as needed).
Serve as back-up to other Sponsored Research Administrator(s) as needed, possible some backup to Business Manager.
Extensive interactions with students, faculty and support staff both internally and campus wide.
Attend departmental, college, and/or university meetings to obtain the latest information regarding finance or research related matters.

Minimum Education and Experience

Bachelor’s degree with 12 credit hours of accounting coursework; or Associate’s degree in Accounting; or Associate’s degree in Business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

* Previous contracts and grants experience.
* Proficiency in MS Excel.
* Strong organizational and communication skills.

Preferred Qualifications

* Prefer 3+ years of university experience in contracts and grants.
* Experience with PeopleSoft Financials, PINS, RADAR/RED, Grants.gov, NSF Fastlane.
